1. INTRODUCTION
I am Molly Dickson, a self-employed makeup artist trading as Molly Dickson Makeup. I respect your privacy and am committed to handling your personal information responsibly.
This Privacy Policy explains how I collect, use, store and protect personal information when you visit my website, contact me, enquire about my services or book an appointment.
I handle personal information in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
If you have any questions about this policy or how your information is used, please contact me at mollydicksonmakeup@gmail.com.
2. WHAT PERSONAL INFORMATION I COLLECT
The information I collect depends on how you interact with my business. It may include:
Contact information: your full name, email address and telephone number.
Billing information: your billing or home address where required for invoicing or financial administration.
Enquiry and booking information: details of your enquiry, the services you request, appointment dates, locations, correspondence and booking arrangements.
Payment information: payment status, invoices and transaction records. Payments made through banks or third-party payment providers may also be subject to their own privacy policies.
Allergy and contraindication information: relevant allergies, skin sensitivities and contraindications, including conditions such as cold sores, where relevant to the safe and hygienic provision of makeup services.
Portfolio material: photographs, videos and testimonials featuring you or my work, where appropriate permission has been obtained.
Website usage information: technical information about visits to my website, including activity logs and website performance statistics, where collected through Squarespace or related technologies.
I aim to collect only the information reasonably necessary for the purpose for which it is required. I do not request allergy or contraindication information as part of an initial enquiry; this information is requested after a booking has been made.
3. HOW I USE YOUR INFORMATION ANY MY LAWFUL BASES
I use personal information for the following purposes:
Responding to enquiries and managing bookings
I use your contact details and enquiry information to respond to you, discuss your requirements, arrange appointments and provide the services you have booked.
My lawful basis is generally taking steps at your request before entering into a contract and, where applicable, performing my contract with you.
Invoicing and financial records
I use relevant contact, billing and payment information to issue invoices, manage payments and maintain business records.
My lawful bases are performing my contract with you and complying with applicable legal obligations, including tax and accounting requirements.
Business administration and website improvement
I may use relevant information to manage my business, maintain appropriate records, improve my website and address enquiries or disputes.
Depending on the purpose, my lawful basis may be legitimate interests, where those interests are not overridden by your rights and freedoms, or another applicable lawful basis.
Allergy and contraindication information
I collect relevant health information after a booking has been made to help me assess potential risks and provide makeup services as safely and hygienically as possible. Further details are provided in section 4.
Portfolio and promotional use
I may use photographs, videos and testimonials featuring my work in my portfolio, on my website, on social media and in other promotional materials, subject to the permissions described in section 5.
I do not currently use client contact details to send newsletters or general marketing emails.
4. ALLERGY AND CONTRAINDICATION INFORMATION
After a booking has been made, I ask clients to provide relevant information about allergies, skin sensitivities and contraindications, including conditions such as cold sores where relevant.
I collect this information to help protect the client, myself and others, assess potential risks, consider product suitability and maintain safe and hygienic working practices.
This information may constitute special category health data under UK data protection law and receives additional protection. I will identify an appropriate lawful basis under Article 6 of the UK GDPR and an applicable condition under Article 9 for processing this information.
Where I rely on explicit consent, I will request it through a separate, clear opt-in statement. I will explain the purpose of collection and keep a record of the consent given. You can withdraw consent by contacting me, although I may then be unable to provide a service safely if the relevant information is necessary.
I receive this information directly through email or WhatsApp. I do not intentionally disclose allergy or contraindication information to other people as part of my normal business practices, and I do not enter it into my accounting software.
Email and WhatsApp are third-party communication services, and their providers may process information in accordance with their own terms and privacy policies.
I will limit access to this information, retain it only for as long as necessary for the relevant purpose and take reasonable steps to protect it against unauthorised access or disclosure.
5. PHOTOGRAPHS, VIDEOS AND TESTIMONIALS
I may wish to feature my work in my portfolio, on my website, on social media or in other promotional materials.
My client contract includes a portfolio permission clause and invites clients to opt out before signing. I will respect each client's recorded choice.
Agreeing to receive a makeup service does not automatically mean that you agree to the promotional use of your image. Where consent is the appropriate legal basis, I will record your permission separately from consent relating to allergy and contraindication information.
You can withdraw consent for future promotional use by contacting me at mollydicksonmakeup@gmail.com. I will consider reasonable requests to remove material under my control. I may not be able to retrieve copies already shared by third parties or fully remove material from platforms that I do not control.
6. HOW I SHARE YOUR INFORMATION
I do not sell your personal information.
I may need to share relevant information with third-party providers to operate my business, deliver my services or meet legal obligations. These may include:
Squarespace, which hosts my website and provides website functionality and analytics.
Banks and payment providers, which process payments and related transactions.
Email, telephone and messaging providers, which enable me to communicate with clients.
Accounting software and professional advisers, where necessary to maintain financial records and obtain professional advice.
Public authorities or legal representatives, where disclosure is required by law or necessary to establish, exercise or defend legal claims.
I only intend to share information where it is necessary and appropriate for the relevant purpose. Where a provider processes personal information on my behalf, I will take appropriate steps to ensure that the processing meets applicable data protection requirements.
Some providers may process information outside the United Kingdom. Where personal information is transferred internationally, I will take the steps required by applicable data protection law to ensure that the transfer is lawful and that appropriate safeguards are in place.
7. WEBSITE ACTIVITY, ANALYTICS AND COOKIES
My website is hosted by Squarespace. Squarespace uses cookies and similar technologies to support website functionality and may collect visitor information through website activity logging and analytics features.
I use Squarespace Analytics and Google Search Console to help monitor website performance and understand how people find my website. The information available through these services varies by service and configuration.
My website activity log may record technical information about visits, such as IP addresses or other visitor information, depending on the settings enabled. I do not use this information to send marketing emails.
Cookies are small files stored on your device. Some are necessary for a website to function, while others may be used for analytics or other purposes. The precise cookies and technologies used depend on my website configuration and the services enabled.
Where consent is legally required for non-essential cookies or similar technologies, I will obtain that consent before using them. You can also manage cookies through your browser settings, although disabling certain cookies may affect website functionality.
For more information about how Squarespace handles personal information, please consult Squarespace's own privacy information.
8. HOW LONG I KEEP YOUR INFORMATION
I retain personal information only for as long as necessary for the purpose for which it was collected, taking account of applicable legal obligations and the need to manage bookings, resolve disputes or establish or defend legal claims.
My intended retention approach is as follows:
Unsuccessful enquiries: I intend to delete enquiry records when they no longer need to be retained and the enquiry has not resulted in a booking.
Client and booking records: I generally intend to retain relevant client records for up to six years, unless a longer period is reasonably necessary for a specific legal, financial or other justified purpose.
Financial and tax records: I retain the records required for applicable tax and accounting purposes for the relevant statutory period, which may be at least six years for certain records.
Allergy and contraindication information: I retain this separately from accounting records and only for as long as necessary for the relevant safety, service or justified record-keeping purpose.
Portfolio material and permissions: I retain photographs, videos and testimonials while they are being used for the agreed purpose, subject to the terms of the permission given and any applicable request to withdraw consent or remove material.
Some financial records and associated information may remain in accounting software for longer, depending on its retention and backup settings and any applicable legal requirements.
I will take reasonable steps to delete or anonymise information when it is no longer required, subject to any legal obligation or justified need to retain it.
9. HOW I PROTECT YOUR INFORMATION
I take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.
I limit the information I collect to what is necessary and take particular care with health and allergy information.
However, no method of electronic storage or transmission is completely secure, and I cannot guarantee absolute security.
10. YOUR DATA PROTECTION RIGHRTS
Under applicable data protection law, you may have the right to:
Access the personal information I hold about you.

These rights are subject to legal conditions and exceptions. For example, I may need to retain certain financial records even if you ask me to delete your information.
To exercise your rights or ask a question about your personal information, email mollydicksonmakeup@gmail.com. I may need to verify your identity before responding and will respond within the timeframe required by law.
